OpenText Cloudally Backup

A purged mailbox, a wiped SharePoint library, a bad Salesforce import. The recycle bin won’t hold them forever — OpenText Cloudally Backup, formerly CloudAlly, copies Microsoft 365, Google Workspace, Salesforce, Box and Dropbox to immutable AWS S3 or your own bucket, up to three times a day, and restores any snapshot without overwriting.

Part 02 · Learn

Understand SaaS backup before you buy it

Most product pages skip this. We start here — so you buy a capability, not a buzzword.

What is cloud-to-cloud backup?

A service copies your SaaS data out of the vendor’s cloud into separate storage, so a deletion or attack cannot reach every copy.

Recycle bins and native retention vs OpenText Cloudally Backup — the honest table

What consolidation actually replaces, dimension by dimension.

Under the hood

The five pieces of the platform

Vendors love diagrams; buyers need to know what they’re actually operating. Here’s the whole platform, demystified.

01
How the service reaches your data

Connect

OAuth connection to each SaaS tenant

An admin authorises the service by OAuth for each platform; OpenText says your Box, Dropbox and Salesforce credentials are never stored or visible to it.

02
What is copied, and how often

Capture

Scheduled and on-demand backup tasks

Tasks copy mail, files, sites, records and metadata up to three times a day, auto-detect new users and sites, and pause Salesforce runs at the API limit.

03
Where the copies sit

Store

AWS S3 vault or your own bucket

Copies land, AES-256 encrypted and Object Lock immutable, in the AWS region you pick at sign-up, or in your own AWS, Azure, GCP or S3-compatible storage.

04
How data comes back

Recover

Snapshots, search and export

Admins or users browse point-in-time snapshots, search by keyword, and restore without overwriting, to the same or another user, or export Zip, PST or EML.

OAuth into each SaaS tenant, copies up to three times a day — on immutable AWS S3 or in a bucket you own.

Part 03 · Evaluate

Nine capabilities. Back up, recover, govern.

OpenText Cloudally Backup keeps independent copies of five SaaS platforms, so a deletion or attack in the tenant cannot reach them.

Back up
Five platforms

One account for five SaaS apps

Microsoft 365, Google Workspace, Salesforce, Box and Dropbox are all backed up from a single Cloudally account and console.

Back up
Microsoft 365

Mail, sites, OneDrive, Teams

Exchange mail, calendars and contacts, SharePoint, OneDrive, Teams channels and Groups, with shared mailboxes and metadata.

Back up
Salesforce

Records, metadata, Chatter

Standard and custom objects, attachments, workflows, Apex classes and Chatter, with sandbox seeding and data anonymisation.

Recover
Point in time

Snapshots without a time limit

Every snapshot is kept, so you can browse back to any earlier date and restore a mailbox, a site or a single file from it.

Recover
Non-destructive

Restore beside, not over

Restores add the old version back without overwriting what is there now, to the same user or to a different one.

Recover
Export

Take the data out

Download Zip archives with EML, VCF and ICS files or an Outlook PST, or push an export to your own S3, Azure, Box or Dropbox.

Govern
Immutable

Copies that cannot be altered

Backups sit on AWS S3 with Object Lock and AES-256 encryption at rest and in transit, outside the SaaS tenant they protect.

Govern
BYOS

Your bucket instead of theirs

Bring your own storage writes the backups to AWS, Azure, GCP or S3-compatible storage you control, on request to support.

Govern
Leavers

Archive accounts, free the licence

Departed users are auto-archived, so a Microsoft or Google licence can be released while their mail and files stay recoverable.

Why OpenText Cloudally Backup

SaaS vendors keep your data running, not recoverable. Cloudally keeps copies outside the tenant, with no time limit.

Here’s what genuinely sets it apart — and exactly where it stops.

01

Five SaaS platforms under one account

Many SaaS backup services cover only Microsoft 365 and Google. Cloudally also covers Salesforce data and metadata, with sandbox seeding, plus Box and Dropbox, all in one console. New users and sites are picked up automatically, and leavers are archived so their licence can be freed.

02

Storage you can choose, kept without a limit

By default the copies sit on AWS S3 in the region picked at sign-up, AES-256 encrypted and locked with Object Lock, and OpenText says nothing is pruned. If policy says the data must live in your own account, bring-your-own storage writes to AWS, Azure, GCP or S3-compatible buckets instead.

03

Pricing that follows the workload

Microsoft 365 file data can be bought per 10 GB per service, so a firm with heavy SharePoint but few mailboxes need not license every user; Microsoft Complete is per user, covering all Exchange users. There are no minimums, terms run monthly or yearly, and 24x7x365 support is included.

04

Where it stops

No price is published. The product pages list no India region and disagree on 9, 10 or 11 data centres. Entra ID is not listed. OpenText keeps the SMB and consumer security line, which includes this backup, outside its core and is divesting non-core units; ask about the roadmap.

Which approach fits you?

Honest fit signals — because the fastest way to lose your trust is to pretend one product wins every scenario.

Choose OpenText Cloudally Backup if…

  • ✓You need Microsoft 365 or Google backed up together with Salesforce, Box or Dropbox, from one account and console
  • ✓Your Microsoft 365 data is mostly SharePoint and OneDrive files, so paying per 10 GB beats licensing every user
  • ✓Policy wants the copies in your own AWS, Azure or GCP bucket, or you need snapshots kept with no time limit

Compare alternatives if…

  • ✓Backups must sit in an Indian region today — Druva lists Mumbai, Veeam Central India, IDrive India for Microsoft 365
  • ✓You want a price before a sales call — Veeam and IDrive publish theirs
  • ✓Entra ID objects must be restorable — Veeam Advanced and IDrive cover them; Cloudally does not list them

Do not expect…

  • ✓A published price, or confirmed rupee billing
  • ✓An India storage region on OpenText’s current product pages
  • ✓A Gartner placement for Cloudally itself — none was found

Do the math

What does recovering SaaS data by hand cost you?

Drag the sliders (users whose SaaS data is protected; admin-hour cost). Estimates model IT time spent recovering deleted mail and files by hand, chasing expired recycle-bin windows and keeping leavers’ licences alive, at an assumed 1.5 hours per user a year, with 70% of it removed by self-service point-in-time restore and auto-archiving. Both figures are assumptions. Illustrative.

Pricing & plans

Three ways to consume it

Quote only, but the model is public. Microsoft 365 Files & Collaboration is priced per 10 GB per service; Microsoft Complete is per user and must cover all Exchange users; Google Workspace is per user, with Shared Drives available per GB. There are no minimums, terms are monthly or annual, and 24x7x365 support is in every purchase. OpenText prints no figures and says currencies vary. TechBag sizes users and gigabytes first, then quotes in INR with GST.

Files & Collaboration

Best for file-heavy Microsoft 365 estates

  • Per 10 GB per service, quoted
  • No minimums; monthly or annual
  • SharePoint, OneDrive and Teams data

+ Platform add-ons

Best for a broader rollout

  • Scoped to your estate
  • Add-on modules as needed
  • Phased, right-sized deployment

Microsoft Complete

Best for whole-tenant Microsoft 365 cover

  • Per user, quoted
  • All Exchange users must be activated
  • Google Workspace priced per user too

The 8 questions to ask every vendor

Take this into your next vendor call — including ours.

1
Workloads

Which platforms need cover — Microsoft 365, Google, Salesforce, Box, Dropbox — and how many users or GB each?

2
Licence model

Is Microsoft 365 cheaper per 10 GB of files or per user under Microsoft Complete, which must include all Exchange users?

3
Storage region

Which AWS region will hold the copies? India is not on the product pages, so get any India commitment in writing.

4
Own storage

Do you need BYOS to your own AWS, Azure or GCP bucket, and who will pay for and secure that storage?

5
Entra ID

Must directory objects be restorable? Cloudally does not list Entra ID, so plan another tool if they must be.

6
Restore tests

Can a mailbox, a site and a Salesforce record each be restored to a point in time within your target hours?

7
Roadmap

OpenText treats SMB and consumer security as non-core. What does the contract say if the product changes owner?

8
Quote

Does the quote list units, term, currency and support? Ask whether INR billing is available and add GST.
